Dear Trader:


Due to the overwhelmingly positive response from attendees at the last National Powwow, will be returning to Vermilion County Fairgrounds in Danville, IL for National Powwow XIV July 9-12, 2008! Obviously, we cannot guarantee that our event will draw a similar crowd, but most traders were pleased with the turnout and will be happy about our decision to return.

We sold out of trader spots for NPW XII! In order to be fair to those who have supported the National Powwow over the years, we will handle trader registration in two phases. Traders who supported NPW XIII will have until April 1, 2008 to request and pay for their previous spot. Any spot not fully paid for by April 1, 2008 will be assigned in the order in which I receive registration and payment. I will begin sending out site confirmations May 1, 2008. Regardless of when you send in your registration, please wait until May 10 to call / write about your spot. If every trader calls me twice to confirm their spot, it will only hinder the process of getting everyone notified in a timely fashion.

If this is will be your first National Powwow, it’s probably important to note that since we hold "National" only every 3rd years. Traders typically come to The National Powwow because they want to be at The National Powwow (as opposed to some who might come strictly for financial gain.) Those who have fared best in terms of sales have typically catered to participants. It’s always anybody’s guess as to what kind of merchandise will make this event financially successful for you.

IMPORTANT NOTES:

  • Outside of wiccan, occult, and/or pegan spiritual trade goods and any item making reference to the National Powwow or Danville IL Powwow, we don’t USUALLY regulate the type of merchandise that vendors sell. However we do not allow the perpetual "50% off" or those types of sales. Different subject, living in a fee society means that we all have to tolerate some things with which we disagree. Those of you who have traveled extensively have probably seen just about everything at a powwow. My plan is to allow the same kinds of things that one would see at any prominent Indian Territory dance, so please don’t ask me to have items removed from another trader’s booth. Having said that, we will not allow those exclusions mentioned above and we will not tolerate vulgar or illegal merchandise. Every vendor contractually agrees to remove anything that the committee feels is a violation of these basic rules.
  • Print the enclosed registration form and mail it back to me with your site preferences
  • In addition to mail notification after April 10, I will post maps of the assigned spots at the entrance to the fairgrounds. You will be able to go immediately to your site upon arrival and set up! I will be around to check on your needs as time permits.

Your total fees will consist of these line items: 1) Booth 2) Camping/Electric 3) additional Participant

BOOTH FEES are $10 per (frontage) foot, regardless of whether you would like to be inside or outside. Per our contract with the Fair Board, electrical fee is $12 per day for everyone using electric, inside or out, even if you just run a fan in your inside booth. Traders MUST have an electrical permit prominently displayed on their power cords near your site or booth. We’ll be checking both electric and number of people per trader, so please be honest up front and help us pay our expenses. The charge for high electrical demands, such as food and made-to-order hot press T-shirt vendors is $25 per day PREPAID. Requirements for electricity may determine the locations available for you.

You get two participant passes with each trade booth. The additional participant fee is on the form.

Inside booths: are 8’ across and 6’ deep.

Outside traders: We will be on the outside of the service road instead of the inside of the service road in 2008. You should be able to set up your camper, RV, or tent immediately behind your trade booth. The inside row of the west side will be reserved for those either staying inside their booth, staying in a hotel, or camping over in the general camping area.

Blanket trading will again be allowed in the Tipi area on Friday and Saturday only. The fee is $35 for both days.

HOURS OF OPERATION:

National Powwow XIV begins on Wednesday, July 9 and ends Saturday evening after the evening dance session. I will not have assigned spots laid out until Tuesday noon. PLEASE DO NOT COME EARLY. YOU WILL NOT BE ALLOWED TO SET UP before I have spots laid out (I know a lot of people chance it at other dances, but please don’t here.) Traders must be out of the fairgrounds by noon Sunday. Unlike some "shows" we won’t regulate when outside traders open or close. Trader building will be open 10 am – 10 pm, Wednesday through Saturday.

PETS:

We STRONGLY discourage pets at the powwow. However, if you find it necessary to bring a pet, you need to have in your possession a current rabies certificate and you must sign an indemnification form. You will have to both release the National Powwow (and it’s committee members) of any liability and accept full legal defense for any action brought against the committee that arises out of any situation involving your pet. Pets must be leashed at all times. Local authorities will remove people who’s pets cause problems. We have included the indemnification agreement with your packet.

Email is BY FAR the best way to contact me. I’m virtually never home and I strongly dislike long distance charges. Please only phone me as a last resort, but if you really, really, really need to call please be sure to leave your phone number AND question on the answering machine. That way, if I get your answering machine when I return the call, I can leave the answer to your question!

We sincerely hope that this doesn’t sound like a bunch of silly rules and regulations. We think we’re making an effort to be reasonable and we just want everyone to have a GREAT time without any unfortunate incidents.
